Introduction:
RecruiterPM is a fast-growing ATS for the HR and recruiting industry that helps teams boost recruitment ROI and accelerate time-to-hire. The company aims to consolidate disparate talent management systems and offer a single platform for project management, sourcing, analytics, and communications without the need for third-party add-ons.
In its pursuit of becoming an all-in-one recruiting solution, the product team at RecruiterPM knew that sending emails and scheduling meetings are core but time-consuming to recruiters’ day-to-day responsibilities. The company sought to build modern communications features that saved recruiters meaningful time while allowing them to focus on building better candidate experiences.
Challenge:
Unreliable, expensive integrations with communications service providers
Daniel Miller, Chief Product Officer at RecruiterPM understood that communications features would be a core offering of their ATS platform. “The first thing every customer asks is: Do you connect with Google [Gmail] or Microsoft [Outlook]?” Miller says. “Customers want to know if they can sync their email, calendar, and contacts data with your application in a secure way. You will not win the customer without that.”
Still, supporting those integrations was much easier said than done. “At first, we attempted to build our own integration with Google, but it was a massive pain. We had syncing issues from the onset and concerns around security. If a customer sends an email: will it be logged correctly?”
The team at RecruiterPM was nearing a fix for their initial syncing issues, but they realized they were investing significant resources that could be better spent creating new features. “After a few months, we still hadn’t finished our initial email sync & calendar integration. I didn’t want my development team to spend any more time.” The product team at RecruiterPM needed a solution that their customers could trust, and they needed it fast.
Solution:
Building reliable email and scheduling features in a fraction of the time
After a lengthy period of time developing communication features from scratch, Miller and his team decided to turn to CPaaS solutions. “Even after we solved issues with our Gmail integration, we still had Microsoft Outlook to contend with. Eventually, we decided to find [a vendor] who dedicates their entire infrastructure to email and calendar,” remarked Miller.
RecruiterPM already leveraged a transactional email API to power mass email, but it still needed a contextual provider to send and receive messages directly from recruiters’ own inboxes. Transactional APIs, while great at sending email beyond provider rate limits, often have lower deliverability rates and send from a third-party IP. Contextual APIs, on the other hand, live within your application, giving recruiters access to all of their email data in a single place. Not to mention, the platform also needed calendar management capabilities for booking and scheduling interviews.

Using the Nylas Email API, RecruiterPM built a unified view of email conversations within its application. Recruiters can see all interactions with a candidate through a single-pane-of-glass to quickly understand that candidate’s status and best next steps. Additionally, recruiters can send and receive messages natively in the platform, reducing time spent context-switching across applications.
And with the Nylas Calendar API, users can now create custom scheduling links to share with candidates, reducing friction and manual coordination in the interview scheduling process.
Results:
RecruiterPM expedites onboarding and improves opt-out rates
With Nylas, RecruiterPM built its communications features 8x faster than developing from scratch. What’s more, the team used just one engineer to build the integration, allowing Miller to retask over half of its engineering resources previously dedicated to integrations towards advancing RecruiterPM’s roadmap.
The company’s new email and scheduling features deliver a better user experience for HR and recruiting teams, too. By eliminating manual, back-and-forth communication when booking meetings, the Nylas-powered features help RecruiterPM save recruiters 10 hours of their work week, effectively saving customers $400 per employee, per month. “Bringing multiple channels into a single hub powered by Nylas has been a gold mine for user communication,” says Miller. “Now, hiring managers know what the heck is going on between candidates and recruiters. Plus, new customers can get up and running significantly faster with our platform, thanks to Nylas’ sync speed.”
Beyond time savings, RecruiterPM’s new email capabilities have helped HR teams reduce opt-out rates. Opt-out rates measure how often a candidate replies to an email asking to be removed from future communications with a recruiter. “Bringing multiple channels into a single hub powered by Nylas has been a gold mine for user communication. Recruiters can see all previous communications with a customer in one place, reducing the risk of excessive outreach to a single candidate and ensuring recruiters don’t waste time getting up to speed on any candidate’s current status.”
